Maintain details that affect actual contact
Profile management is partly a publishing job, but it is also a coordination job. Your marketing team needs timely information when programs change, a facility moves, or admissions coverage differs during holidays.
We review the practical contact path from the profile to your organization. Does the phone number reach the correct team? Does the website link explain that location? Is the map pin useful for arrival? Are special hours current?
Hours deserve particular care. Google instructs businesses to provide regular customer-facing hours and offers additional or special-hours options where appropriate. A 24-hour call-answering arrangement does not automatically determine the right primary hours for every facility.
Photographs should accurately show the business and avoid exposing patients, identifying documents, computer screens, or other sensitive information. Staff and facility media should have an approved publication process.
Updates should communicate verified changes rather than fill a posting quota. A program announcement, arrival-information update, or staff introduction may be useful when accurate and relevant. Routine posting is not a ranking guarantee.
We also maintain a change record. If an edit is rejected or information changes unexpectedly, your team should be able to see what was submitted, what appeared publicly, and what follow-up remains.
Handle reviews without turning public replies into disclosures
Treatment centers need a different review workflow from an ordinary retail business. A public response can create privacy problems if it confirms a person’s treatment relationship or discusses their care.
We set up a response process with approved boundaries, escalation contacts, and clear ownership. General feedback may receive a neutral acknowledgment. Individual concerns should move to the appropriate private channel without requesting sensitive information in public.
Review invitations also need review. Google prohibits incentives for reviews and selective solicitation of positive reviews (Google). We do not propose rewards, requests for specific ratings, or systems that route only favorable feedback toward a public review page.
The FTC’s Consumer Reviews and Testimonials Rule separately addresses fake reviews, certain undisclosed insider reviews, sentiment-conditioned incentives, and other deceptive review practices (FTC). Compliance with one platform rule does not replace the other obligations.
A reviewer choosing to identify themselves does not automatically authorize the treatment center to disclose additional information. The aim is responsible communication, not a public argument about clinical events or an attempt to pressure someone into changing a rating.
Report useful actions and coordinate the wider local strategy
Google Business Profile performance can help your team understand how people encounter and interact with a listing. It cannot, by itself, establish how many people completed an admissions conversation or entered treatment.
We distinguish profile activity from verified outcomes. Depending on the tools and permissions in place, reporting can cover:
- Available profile visibility and interaction metrics.
- Website visits through approved tagged links.
- Calls associated with the profile’s contact path.
- Answered and missed calls where telephony data exists.
- Qualified inquiries and admissions matched in the CRM.
- Unmatched outcomes and known reporting limitations.
A profile call interaction should not be described as an answered call unless another system verifies it. Direction requests should not be counted as admissions.
Where source matching is reliable, cost-per-admission reporting can include the allocated management and supporting measurement costs. Aggregated length-of-stay information belongs in restricted operational reporting, not in the public profile or routine publishing tools.
Common agency mistakes include keyword-stuffed names, duplicate profiles, inaccurate hours, patient-identifying review replies, and reports that equate every interaction with a lead. Another is promising to remove every negative review. Content can be reported when it appears to violate policy, but removal decisions belong to Google.
Profile management connects to local SEO through accurate listings and location pages, to web design through the linked destination, and to call tracking through verified inquiry outcomes.
